CMS Workflow Analyst
As a CMS Workflow Analyst, you will own the analysis, optimisation, and continuous improvement of content workflows.

As a CMS Workflow Analyst, you will own the analysis, optimisation, and continuous improvement of content workflows. You’ll reduce friction in day to day publishing operations, navigating through different viewpoints to map workflows using BPMN techniques. You will improve reliability, and enable better automation through clearer workflow design, metadata discipline, and operational insight. This role is ideal for someone who combines analytical rigour with strong collaboration and facilitation skills.
What will you be doing
1. Workflow and process analysis
Observe teams using interviews, shadowing, sampling, and real‑world data to understand actual behaviour vs. documented processes.
Facilitate discovery activities that uncover hidden workarounds, pain points, and user frustrations.
Map ‘as‑is’ workflows using BPMN, identifying actors, tasks, triggers, dependencies, handoffs, bottlenecks, rework loops, and failure points.
Design ‘to‑be’ workflows with a measurable impact, which reduce manual steps and workflow ‘stalls’, introduce automation, and minimise cycle time.
Produce and maintain clear, version‑controlled, workflow documentation and runbooks that teams can easily understand and use.
2. Workflow execution health and operational support
Monitor workflow execution issues, identify and triage root causes, and coordinate fixes with engineering, IT, and support teams.
Maintain a consistent cadence for workflow improvement across global teams to prioritise workflow fixes / enhancements and confirm outcomes.
Participate in testing / QA by defining test cases, executing workflow validation.
Support workflow‑related releases by contributing to deployment planning, release coordination, and post‑release monitoring, ensuring business disruption is minimised.
Help improve readiness materials and FAQs for workflow‑impacting changes (e.g. known behaviours after upgrades).
Gather feedback and refine documentation and / or workflows as needed.
Work with external vendors where required to translate workflow needs into deliverables.
Set KPIs, benchmarks, and operational metrics to monitor improvements over time.
3. Workflow automation and integration enablement
Identify high‑value automation opportunities, especially where work is currently manual, and translate them into implementable requirements.
Partner on integrations, such as file‑based ingestion / updates and asset lifecycle behaviours.
Collaborate with technical teams using CMS integration surfaces (e.g. REST concepts and endpoints) to validate requirements and expected outcomes.
Skills and Experience
Essential
Experience in a CMS / publishing / editorial operations / content production environment, ideally with workflow ownership.
Understanding of omnichannel content platforms.
Strong workflow analysis skills (e.g. BPMN, mapping, gap analysis).
Analytical mindset with a structured, data‑informed approach.
Demonstrated success improving operational metrics.
Excellent communication and facilitation skills, with the ability to build trust.
Experience supporting change management, training, and process adoption.
Desirable
Experience with Lean, Six Sigma, Agile, or other continuous‑improvement methodologies.
Experience with censhare and its operating models (e.g. Classic vs. Cloud).
Familiarity with APIs, automation concepts, and workflow‑related testing.
Use of AI tools to support BPMN creation.
