What we’re looking for
We have an exciting opportunity for you to join Argus as our Executive Assistant (EA) to support our EVP of Latin America, Global Head of LPG, and senior stakeholders in Latin America. This C-Suite Executive Assistant will provide senior leaders with a high level of administration and coordination to support a complex and varied workload.
What will you be doing
The successful EA is an energetic bilingual (English and Portuguese) professional who does not mind wearing multiple hats. Experienced in overseeing a wide range of administrative duties and executive support-related tasks and able to work independently with little or no supervision. Well organized, flexible, and enjoys the administrative challenges of supporting a diverse group of executives.
Key Responsibilities
- Proactively managing complex calendars across various time zones and teams
- Arrange conference calls, in-person meetings, and record agendas and minutes as needed
- Prepare executive travel arrangements for domestic and international travel
- Produce weekly and monthly executive reports with the ability synthesize information from different business units
- Prepare expenses for submission for executive management
- Liaise with internal contacts at all levels of the organization, including human resources, information technology, and finance
- Serve as secondary point of contact with vendors, service providers, and landlord. Providing coverage when the office manager is out
- Provide support for maintenance, mailing, shipping, supplies, equipment, bills, and errands
- Occasionally responsible for creating PowerPoint slides and making presentations
What we’re looking for in you
Please note: Official language test results are not required for this role. Language proficiency levels are provided for benchmarking purposes only.
- Fluency in Portuguese and English at an advanced level (equivalent to CEFR B2 or higher, IELTS 6+, or TOEFL iBT 87+).
- Conversational Spanish at an intermediate level is a plus (CEFR B1 or higher).
- Excellent command of Microsoft Office applications.
- Minimum of 5 years’ experience as an Executive Assistant.
- Exceptional planning and time management abilities.
- Proven ability to multitask and prioritize effectively in a dynamic environment.
- Highly organized and efficient, with a strong focus on meeting deadlines.
- Strong verbal and written communication skills.
- Demonstrated ability to handle confidential information with discretion.
- Experience working under pressure while managing multiple concurrent projects.
- Excellent organizational and planning skills.
