Executive Assistant (9 month FTC)

What we’re looking for
We are looking for an efficient Senior Commercial Assistant support the Chief Commercial Officer (CCO). This C-suite Senior Commercial Assistant will provide senior leaders with a high level of administration and diary coordination to support a complex and varied workload.
What will you be doing
You will be a professional, confident, approachable and capable Commercial Assistant with a proactive attitude with the ability to build relationships with the senior leaders and the company, delivering an efficient and high-quality service to the leaders.
The role also includes organising (which includes being onsite) internal sales events/offsites; internal and external locations globally.
Key Responsibilities
- Proactively manage the CCO’s complex diary, ensuring clashes are resolved, coordinating agendas, and troubleshooting where needed
- Assist the CCO in producing high-quality reports, documents and presentations using advanced computer skills
- Produce weekly and monthly reports with the ability to synthesise information from different business units
- Organise travel and accommodation arrangements for CCO
- Prepare expenses for submission for CCO
- Organise (which includes being onsite) internal sales events/offsites; internal and external locations globally
- Planning and managing complex travel arrangements for the teams who will attend major events, such as the annual Global Sales Leadership offsite, Global Sales Meeting, Global Management Meeting, Enterprise Team Offsite, etc.
- Organise invoices/bills/POs requiring management approval
- Arranging annual appraisal meetings for CCO and follow up documentation
- Proactively track, file, and archive key business information, including contracts and business documents, to ensure we can easily reference data in the future and meet audit requirements, looking for ways to improve current systems.
- Handle personal tasks for CCO when required.
Essential Skills and Experience
- Demonstrable senior level EA experience working with complex diaries in commercial industry, delivering a high quality service to the leader
- Excellent communication skills with a confident attitude
- Excellent IT skills and experience working with a database
- Experience co-ordinating meetings / events/ offsites and managing travel schedules globally
- Experience working with confidential information, applying discretion and using judgement
- Highly organised and efficient with experience prioritising effectively to meet deadlines
- Reliable with strong attention to detail
- Ability to work under pressure, and to manage multiple projects
- Experience working in a fast-paced environment and being able to deal with ambiguity
- Work closely with other teams such as Infrastructure, Security & Applications teams.
- PowerShell knowledge
